Dear committee members,
as you know I’ve made a few proposals how to handle the AIW presentations and which kind of options we would have to prepare publications. The suggestion was to implement a 2 step approach and to start with a kind of a repository where presenters‘ papers can be uploaded in order to discuss them within the community.
The tool I proposed for this issue would be chargeable. So during the last business meeting (see protocol June, 14th 2122) the AIW decided to launch a non-profit association in order to finance the activities and have a stable baseline for other planning.
For the time being I’m thankful that Thomas Jacobs gave me a hint to another tool which ist cost free („Discord“). Although it originates in gaming environments it meets our purposes for this step.
We had a first test phase and now I’d like to start with a real pilot related to the presentations of the 43rd workshop in Luxembourg. This has already been coordinated with Carlo Krieger.
In general the plan is to discuss only presenters‘ papers and to start the upload period after the corresponding AIW to avoid a „cannibalisation“ of the proper AIW. Within the attached paper you will find a documentation how the structure of the AIW Pilot Server is prepared, which roles/legitimations are available and which test steps have been done already.
Only the organizers of the real Workshops can use the AIW authors/participants emailing lists due to EU GDPR. Therefore, Carlo will take it upon himself to invite authors to upload their papers and - on a delayed basis - invite participants to comment on the papers (please find a short time table at the end of the attached document als well).

As soon as I’ll see you within the tool I’ll assign the role „committe member“ to you.

This way we will be able to discuss the experiences during the next Business Meeting in Budapest and decide how to proceed.
