Dear colleagues –

We are very much looking forward to hearing your work at the AIW in July.  The full line-up for the conference will shortly be available on the Transmotion website here.

Registrations are also now open and can be accessed via this link. We would ask that all attendees register for their tickets by June 1st.  The Zoom links for the conference will be sent out a week beforehand, only to registered delegates.

As you know, we were considering the best ways to make the online format work for us all by ensuring that every attendee got good responses to their presentations, and that everyone gets the chance to network and discuss the topics of the conference with others.  Since the conference is highly cohesive, with almost every paper and panel being relevant to the conference topic, we decided to avoid parallel sessions entirely.  There will therefore be three sessions per day for the conference: two sessions with 3-4 papers per panel, with a session between for keynotes, workshops, business meeting and interview.

For regular panels, the format will be as follows:

·         3-4 papers per panel.  We would ask that your paper is no longer than 15 minutes in length, and preferably a bit shorter.  For a guideline, we’d suggest putting together a paper of around 1,500-2,000 words.

·         Following the panel presentations, we will break out into smaller groups, each with a dedicated moderator, to discuss the presentations.  Moderators will guide the discussion and keep notes of the questions and comments that come up.

·         After the breakout sessions, we will come together again as a larger group to share ideas and responses.

If you are willing to act as a moderator for one or more sessions, please let me know by email.  The more moderators we have, the better, so all such offers would be very gratefully received. If you proposed a full panel and would like the discussion period to be handled differently, please email to let me know, as early as possible.

We’d like to strongly encourage panelists to be in contact with one another prior to the conference, and to consider sharing papers and presentation materials ahead of time.  This will improve the level of discussion both between panelists and in the moderated breakout sessions (it’s also a good way to get to meet new people!)

Note for papers with accompanying Powerpoint presentations: these will be presented with the “share screen” from your own laptop, using Presenter View in Powerpoint.  If you’ve not used these functions before, please make sure to practice before the day. Also, remember to have a printed copy of your paper, as you won’t be able to see it on screen if sharing a Powerpoint.

One last thing: to encourage academic networking, we would like to include everyone’s email contact details in the conference programme.  If you are not comfortable with having this information shared, please let me know.

All best

James
